How-to-Guide: Renting Party Equipment

Adapted from an article written by Heather A. Muckle

If you are having a backyard reception in the Myrtle Beach Area, planning can be twice as hard. You don't have the luxury of renting your entire reception needs at one place. Everything must be chosen separately, making extra work for you. Use these tips to make it easier!

What to rent?

Tables. You'll have to decide between round tables or rectangular tables, and be sure to ask how many people will fit comfortably at each table. Many say eight people fit comfortably at a 60-inch round table, however, I’ve found that can be a tight squeeze if they are eight adults. One eight-foot rectangular table should fit four people on each side comfortably. You may want to rent extra tables for your head table, your cake, guest book and gifts.

Chairs. You'll want enough chairs to fit at the dinner tables, as well as some chairs around the reception area where people can sit and converse. Many places carry white chairs, but several only offer metal folding chairs. You may decorate these with ribbons or rent chair covers to make these look more attractive.

Placesettings. Your caterer may offer to rent you china, crystal and silver for your dinner guests. If you are having a somewhat formal reception, this can be a good option verses using paper and plastic. Also, most caterers will rent out table linens so you don't have to buy tablecloths.

Tent. If you are having an outdoor wedding or reception, you should highly consider renting at least one tent to protect your guests from sun or rain. Be sure to rent a tent large enough to fit your guests and other rental equipment comfortably.

Miscellaneous. Other options you may want to consider renting: a dance floor, restroom facilities, fountains, lighting, and decorations.

How to rent?

First, try to get recommendations from friends and family for rental facilities in your area. you'll want to call upon at least two or three rental facilities to compare prices. Be sure to visit each facility to inspect their equipment in person. Ask about delivery and pick-up days and times, and what the delivery charges will be. Check to see if there are employees available to set up and take down your equipment, and what the cost will be. (Of course you can just click here.)

As with any vendor, be sure to confirm your reservations several times throughout your planning process, and notify them immediately of any changes to your order.
